Why we gather
The meeting is a tool, not a reflex.
Somewhere along the way, "let's hop on a quick call" became the default answer to every open question. The result is a calendar packed wall-to-wall with blocks that drain energy and rarely produce a decision. A great business meeting is not a ritual you perform to look busy — it is a deliberate tool you reach for when a group of people genuinely needs to think out loud together.
Before you send that invite, run a one-second test: could this be a shared document, a short message, or a recorded clip instead? If yes, skip the room. If no — if the work demands real-time back-and-forth, a tricky trade-off, or a human conversation that builds trust — then a meeting is exactly right. Treating meetings as intentional rather than automatic is the single biggest upgrade most teams can make.
